Let’s begin with Icon View. The top section of the page in Icon View displays the participants from your People List as individual “bubbles.” The bottom section of the page shows the contacts or locations from your Places List as “buckets” with spots for the participant bubbles. Grabbing a participant bubble allows you to drag them into a spot within a Places bucket. This creates an assignment for that participant and contact. You can also drag the participant back up into the People section to undo this assignment.
Clicking on multiple participant bubbles will allow you to assign many participants at once. Simply click on each participant bubble you wish to assign and then click the Place bucket you wish to drop them into. Once you have done this, press the “Add” button to move all selected participants to that bucket. The same process works for “Remove”: You may select multiple participants within a bucket and then press “Remove” to bring them back to the People section. Please note that participants with restrictions against being placed in a specific bucket or participants that won’t fit into the available spots within a bucket will not be added.
Select All / Unselect All
You may also use the “check” and “x” icons in the lower righthand corners of each section to Select All and Unselect All, respectively. Clicking on the icons in the People section applies the selection to all the participants. Clicking on these icons in the Places buckets will select all the participants within a bucket. Finally, clicking on the icons in the bottom righthand corner of the Places section will apply the selection to the Places buckets (not the participants).
Filter By, Auto-Assign, and Restrictions
We will cover “Auto-Assign” and restrictions in the article: “Editing Assignments and Restrictions.”
If you have a large number of participants in the People section, you may find specific participants or groups of participants using the “Filter By” button or the search bar. Clicking “Filter By” brings up a box with various parameters for sifting through participants.
To filter, first select the List Field you wish to use as your filter criteria. Then select the “Condition” to apply to this field. The “Condition” tells Eventene how you wish to use the field as a filter. These conditions include “contains,” “begins with,” “equals,” “does not equal,” “ends with,” and “does not contain.” Finally, enter a value for the condition. For example, using the List Field “Last Name” with the condition “contains” and a value of “Williams” will find any participant with the last name “Williams,” as well as those who contain “Williams” in their last name like “Williamson” or “McWilliams.”
To use these criteria as a filter, simply hit “Add to List” and then press “Save.” Hitting “Cancel” will discard any changes you have made but leave previous filters in place. You can see the currently active filters at the top of this page and remove any or all filters using the “Remove” and “Clear All” buttons.
Returning to the Icon View, you can also use the search bar to find specific participants using their First Name, Last Name, Full Name, or Email Address.
For information on how you can set restrictions on People and Places, please refer to the article “Editing Assignments and Restrictions.”
Places can also be filtered and searched much like People. However, the List Fields will correlate to those on the Places List rather than the People List. Using the search bar in the Places section searches for Places rather than participants within Place buckets.
