Now that you have restrictions in place, you can use the Auto-Assign feature to its full effect. However, Auto-Assign will work even without any restrictions. To begin using Auto-Assign, press the gear button next to the Auto-Assign button in either the Icon or Table Views.
You now have several options for determining how Auto-Assign will treat participants and places. The first step simply reviews prioritization, explaining that Auto-Assign will respect any filters and groupings that you currently have in place in Icon or Table View. The second step asks you to choose whether Auto-Assign will follow restrictions you have set on People or Places. You may choose to follow restrictions for only People, either, or neither.
Finally, you will be asked to select the methodology that Auto-Assign will use to fill spots in Places buckets. “Minimize Places” means that Auto-Assign will try to fill as few buckets as possible. This is useful if you are, for example, setting up dinner table seating and want to use as few tables as possible. “Maximize Places” will spread the participants over as many Places as possible. This is good for ensuring that every group has participants, like if you are organizing soccer teams and every team needs to have participants.
Regardless of what options you select, you will now need to press either “Cancel” or “Save.” As usual, “Save” will immediately apply the settings you have selected for Auto-Assign (but not actually begin Auto-Assigning yet), whereas “Cancel” will disregard any changes made and revert you back to the last saved Auto-Assign settings. Either way, you will be returned to the Assign view that you just came from.
To complete the Auto-Assign process, simply press the Auto-Assign button in either Icon View or Table View. A dialog box will then launch, showing you the progress of the Auto-Assign (large Lists can take several seconds). Simply press “Cancel” or “Continue” to decline or accept the Auto-Assignment.
