Assign is great for manually moving participants into buckets, but Assign also has tools for automatic sorting. You can use restrictions and auto-assign to easily move large numbers of participants into specific groups.
To begin setting restrictions on participants, select the participants you wish to edit and then press the “Set Restrictions” button in the People section. This will bring up the People Restrictions page.
In the topmost box, you can see your selected participants. Also toward the top of the page is the “Clear All Restrictions” action, which removes all restrictions currently applied to People. Remember that on this page you are applying the same restrictions to all your selected participants.
After you have visually confirmed these are the participants you want to use, take a look at the Place Fields box. Here you will select which data field from the Places List you will be restricting for this group of participants. Let’s use “Full Name” as an example.
Once you select a Place Field you will see all the values for that Place Field in the Place Values box. Now select which of these to allow. Checked boxes mean the value is allowed for these participants, whereas unchecked boxes mean the value is restricted. If we uncheck “Building 3” in the previous example, all the participants from the People box will be restricted from being assigned to Building 3. This means you can’t grab one of these participants and drag them into the Building 3 bucket. It also means that Auto-Assign will follow this restriction and not place any of the restricted participants into Building 3. Now press either “Cancel” or “Save.” “Cancel” will undo any changes you have made and return you to the view you just came from, but leave previous restrictions in place. “Save” will implement the restrictions immediately.
Restrictions work in almost exactly the same way for Places, except that List fields and values will populate from the People List rather than the Places List.
